Cover Your AI: Why Governance Matters

AI adoption without governance creates risk.

That does not mean nonprofits should avoid AI. It means they should approach it intentionally.

Many organizations already have staff using AI, whether leadership knows it or not. Some may be using free tools to draft emails, summarize documents, clean up data, or make their work easier. The problem is not that staff are curious. The problem is when sensitive organizational data is entered into tools that have not been reviewed or approved.

That is why every nonprofit should develop an AI acceptable use policy.

A good AI policy should answer basic questions:

  • Which AI tools are approved?
  • What types of data can staff enter?
  • What types of data are restricted?
  • Who is responsible for reviewing AI-generated work?
  • How should staff disclose or handle AI-assisted content?
  • What tools require additional review before use?

Security matters, but so does change management. If staff are already using AI tools, a policy should not simply take everything away overnight. Leaders should first understand what staff are using, why they are using it, and what needs those tools are meeting.

Then the organization can align around safer, approved platforms.

Insource recommends thinking carefully about permissions, integrations, and access levels. For example, connecting Claude to Salesforce or Google Drive can be powerful, but organizations should decide whether read-only access is enough before enabling write access.

AI governance is not about slowing innovation down. It is about giving staff tools they can use confidently and safely.

The goal is simple: fewer risky workarounds, more approved tools, better training, and clearer expectations.

That is how nonprofits can move from the “AI Wild West” to responsible adoption.
