JVS Boston: Rolling Out Claude Across the Organization

JVS Boston is one of the largest providers of adult education and workforce development services in Greater Boston, serving more than 15,000 people a year across over 35 programs. Insource has been JVS’s partner since 2025. In late 2025, we began helping them adopt AI across the organization.

What they wanted

JVS Boston wanted Claude available to all staff — not just one team or a small group of early users — and they wanted it set up responsibly, with clear policies in place before rollout. They also wanted Claude connected to the systems where their information already lives, so it would be useful for real work rather than a standalone chat tool.

Underneath the technology, the goal was to serve clients better. JVS wanted to give coaches and program staff more time for the human side of their work by taking routine and administrative tasks off their plates. They wanted to be able to see and respond to program data in real time, so staff could act on what’s happening with participants when it matters.

Set up governance first. Before deploying anything, we worked with JVS Boston to establish an AI usage policy and complete a security and compliance review.

Rolled Claude out to the whole organization. We deployed Claude to approximately 160 staff and delivered all-staff training, completed in mid-July 2026. Training was tailored by role, with more in-depth sessions for program leadership and staff who work closely with data.

Connected Claude to their core systems. We integrated Claude with Salesforce (their program and participant CRM), Snowflake (their data warehouse), and NetSuite (their general ledger). Staff can now ask questions of their operational, outcomes, and financial data directly.

Built program dashboards as Claude artifacts. We created program-level dashboards that give directors self-serve visibility into enrollment, participation, and outcomes, without going through a separate reporting process.

Built skills to fit how JVS works. We rolled out a template skill so anything staff create in Claude comes out in JVS’s brand. We also built skills to support specific groups — coaches, instructors, and others — with the work they do day to day. We have a process in place to identify and roll out new skills as more needs come up.

Measuring adoption and impact. We track how Claude is being adopted, how staff are using it, and how effective it is, so decisions about training, skills, and next steps are based on what’s actually happening rather than assumptions.

Where it stands

Claude is now in place across JVS Boston with governance established and staff trained. The work is ongoing — current efforts include extending the dashboards to more program areas, building additional skills, measuring adoption and effectiveness, and building agentic workflows (automated processes where AI handles multi-step tasks, until a goal is met) on top of the Salesforce, Snowflake, and NetSuite connections.
