Why Boston Nonprofits Are Thinking About AI Strategy in 2026 — And Why Governance Matters Most
If your nonprofit hasn’t started talking about AI yet, you’re in good company. Most nonprofit organizations are still in the early stages — curious but cautious, interested but unsure where to begin. That’s a perfectly reasonable place to be. AI is moving fast, and the pressure to “adopt or fall behind” can feel overwhelming when you’re already stretched thin running programs, managing staff, and keeping funders happy.
But here’s what we’re seeing across the Boston nonprofit community: the organizations that are approaching AI thoughtfully — not rushing in, but not ignoring it either — are the ones positioning themselves well. And the ones doing it best aren’t starting with tools or technology. They’re starting with governance.
The Case for Thinking About This Now
We’re not going to tell you that your nonprofit needs AI yesterday. But there are a few trends worth paying attention to.
First, your staff is probably already using AI. Tools like Claude, ChatGPT, and Copilot are freely accessible, and studies suggest that a significant portion of knowledge workers are already using them — often without telling their employer. In a nonprofit context, that means someone on your team may be pasting donor data, client information, or financial details into an AI tool without any organizational guidelines in place. That’s not a technology problem. It’s a governance gap.
Second, funders and certification entities are increasingly asking about technology adoption. Not all , and not aggressively — but the trend is real. Grant applications and site visits are starting to include questions about how organizations use technology to improve efficiency and outcomes. Having a thoughtful answer, even a simple one, signals organizational maturity.
Third, the practical benefits are genuine. The nonprofits we work with that have adopted AI tools for specific tasks — drafting communications, cleaning data, summarizing reports — are saving real hours every week. These aren’t theoretical gains. They’re happening now, in organizations that look a lot like yours.
Start With Governance, Not Technology
Here’s the most important thing we tell every nonprofit leader we talk to about AI: before you pick a single tool, write a use policy. It doesn’t have to be long. It doesn’t have to be perfect. But it needs to exist, because without it, you have no shared understanding of what’s acceptable and what isn’t.
A basic AI governance framework for a nonprofit should address a few key areas:
Data boundaries. What types of information can staff put into AI tools? Most organizations should draw a clear line around personally identifiable information (PII), client records, donor financial data, and anything protected by HIPAA, FERPA, or other regulations. Make it simple: if it’s sensitive, it doesn’t go into an AI tool without explicit approval and an understanding of how that tool handles data.
Approved tools. Not all AI tools are created equal when it comes to data privacy. Some tools train on user inputs; others don’t. Some offer enterprise-grade security; others are consumer products with limited protections. Your policy should specify which tools are approved for organizational use and which aren’t. Claude, for example, doesn’t train on user conversations by default — that’s an important distinction for organizations handling sensitive information.
Human review requirements. AI outputs should never go directly to a client, funder, or the public without human review. This seems obvious, but it’s worth stating explicitly in your policy. AI is a drafting tool, not a publishing tool. Every AI-generated document, communication, or analysis needs a human set of eyes before it leaves the organization.
Transparency. Should your organization disclose when AI was used to help create a document? There’s no universal standard yet, but it’s worth discussing. Some funders may have opinions. Your board might have a preference. Getting ahead of the question is better than being caught off guard.
Accountability. Who owns AI governance in your organization? For small nonprofits, this might be the executive director or operations manager. For larger organizations, it could be a cross-functional working group. The point is that someone is responsible for reviewing the policy periodically, staying current on developments, and answering staff questions.
What “Safe AI” Looks Like for Nonprofits
When we talk about safe AI, we mean three things. First, data safety: your organization’s sensitive information and your clients’ personal data are protected. Second, output safety: the content AI produces is reviewed by a human before it’s used, so errors, biases, or inappropriate content are caught. Third, organizational safety: your nonprofit has clear policies, your staff understands the boundaries, and you’re not exposed to reputational or compliance risk because someone used a tool without guidance.
Safe AI isn’t about avoiding AI. It’s about using it deliberately, with guardrails, in a way that aligns with your organization’s values and obligations.
A Practical Starting Point
If you’re a nonprofit leader reading this and thinking “okay, but where do I actually start?” — here’s a straightforward three-step path:
Step 1: Find out what’s already happening. Ask your team whether anyone is using AI tools in their work. You might be surprised by the answer. This isn’t about catching people doing something wrong — it’s about understanding the current reality so your governance framework addresses it.
Step 2: Draft a simple AI use policy. One page is fine to start. Cover data boundaries, approved tools, and human review requirements. Share it with your team and your board. You can refine it over time.
Step 3: Pick one or two use cases to pilot. Choose tasks that are time-consuming, low-risk, and don’t involve sensitive data — like drafting newsletter content, summarizing meeting notes, or cleaning spreadsheet data. Let your team experiment within the boundaries of your policy and see what works.
This approach gives you the benefits of AI adoption without the risks of unguided use. It also puts you in a strong position when funders, board members, or partners ask about your AI strategy: you have one, it’s responsible, and it’s already delivering results.
